Clock only collects data necessary to perform its time-tracking functions. This includes:

• Discord User ID: Unique identifier to map sessions to individual users.
• Discord Guild (Server) ID: To segregate data per server.
• Clock-In / Clock-Out Timestamps: Date and time values for each session event.
• Vote Data: When you vote for Clock on top.gg, your Discord User ID and vote timestamp are recorded to track and deliver vote rewards.
• Language Preference: Your server's selected language (one of 6 supported languages) is stored as part of server configuration.

2.How We Use Your Data

We use your data solely to provide and improve time-tracking features within Discord:

• Recording session durations and generating user reports.
• Maintaining active session status and role assignments.
• Resetting or adjusting sessions at administrator request.
• Delivering vote rewards via top.gg integration.
• Providing server administrators access to a management dashboard for oversight and configuration.

3.Data Retention & Security

All session data is stored in a secure MySQL database managed by the Bot host. We implement reasonable security measures including:

• Encrypted database connections (TLS).
• Regular backups and access controls.
• Environment-based credentials (never stored in code).
• Restricted access to the admin dashboard via verified administrator accounts only.

4.Sharing & Disclosure

Clock does not share or sell your personal data. Disclosure only occurs in the following cases:

• With your explicit consent (e.g., sharing reports in Discord).
• To comply with legal obligations (e.g., responding to lawful requests).

5.Third-Party Services

Clock integrates with top.gg for bot voting and vote rewards. When you vote, top.gg sends a webhook to our server containing your Discord User ID. This data is used only to register and fulfill vote rewards. No advertising or analytics third parties are used.

6.Your Rights

• Access: Administrators can view session data via bot commands.
• Correction: Admins can adjust or correct session times.
• Deletion: Admins may reset individual sessions or all server data.
• Data Requests: Contact us via Discord or email to request a copy of your stored data.

7.Children's Privacy

The Bot is not designed to collect data from minors under 13. We do not knowingly store personal data of children. If you believe a minor's data has been collected, contact us immediately for removal.

8.Changes to This Policy

We may update this Privacy Policy at any time. When changes are made, the "Last updated" date will reflect the revision. Continued use of the Bot after modifications indicates acceptance of the revised policy.
